Which TR19 frequency band pubs fall into

TR19 Grease bases minimum frequency on daily cooking hours: every three months for 12 to 16 hours, every six months for 6 to 12 hours and every twelve months for 2 to 6 hours. A pub serving lunch and evening food most days usually sits in the six-monthly band. A wet-led bar with a short evening menu may be light use and annual, while a food-led pub serving all day can reach the quarterly band. Hours can stretch in August. Edinburgh's Licensing Board regards a two-hour extension to the usual closing time as acceptable during the Festival and Fringe, and in 2026 venues with late festival trading in their operating plans could open two hours later from 7 to 31 August. What SFRS and your insurer expect

In Scotland the duty to assess and manage fire risk sits with the duty holder under the Fire (Scotland) Act 2005 and the Fire Safety (Scotland) Regulations 2006, and the Scottish Fire and Rescue Service (SFRS) enforces it for most premises. Where premises are licensed, SFRS says the significant findings of the fire risk assessment must be recorded and kept available for inspection. Scottish Government guidance for non-residential premises says grease and fat deposits should be removed from kitchen equipment, including extraction equipment. BESA notes that many insurers ask for cleaning certificates at renewal and may refuse a claim traced to poor maintenance. If you lease or tenant the pub, agree with the owner who books the clean and who keeps the certificate.

What a full clean includes

The provider cleans the canopy and filters, the whole ductwork run to the discharge and the extract fan, fitting access panels where a section is boxed in. Grease-depth readings are taken before and after, and you receive a certificate with before-and-after photographs. Many pubs here trade from old buildings. In the Old Town, the Grassmarket was traditionally a place of taverns and lodgings for market traders and cattle drovers, and the White Hart Inn there claims to be the oldest pub in Edinburgh. In buildings of that age a duct can run through ceiling voids and upper floors, so if nobody knows the route, get an inspection report first.

Timing it around your trade

Cleans can be booked after last orders or on a morning before opening. August and Hogmanay are the dates to plan around in the city. In South Queensferry, the Loony Dook on New Year's Day is part of the official Hogmanay celebrations, and each August the Burry Man's tour during the Ferry Fair takes in every pub in the town. Home match days at Tynecastle and Easter Road are worth avoiding too.

How often does a pub kitchen extract need cleaning?

A pub serving food at lunch and in the evening usually falls in TR19's moderate band of 6 to 12 hours a day, which means at least every six months. All-day food can mean every three months, and a short bar menu may be annual. Count any extra hours you cook during the August festivals.

We only serve food at weekends. Do we still need a clean?

Yes. Fewer cooking hours mean a longer interval, but grease still builds up in the duct and fan, and BESA points out that no filter is 100 per cent effective. A kitchen cooking 2 to 6 hours a day falls in TR19's light band, which still means at least one full clean a year.

Who books the clean in a leased or tenanted pub?

Check your lease and agree it with the owner. The Fire Safety (Scotland) Regulations 2006 expect everyone with duties in the same premises to co-operate and co-ordinate. Either way, keep the certificate on site with the fire risk assessment and send a copy to whoever insures the building.

Does a licensed pub have to write down its fire risk assessment?

Yes. The Scottish Fire and Rescue Service says the significant findings must be recorded where premises are subject to a licence, where there are five or more employees, or where an alterations notice requires it. Keep the record available for inspection and file the TR19 certificate alongside it.
